This policy explains how your personal information is used and protected.
Your data is protected by all that I do and this policy is transparent about it’s use and by whom.
DATA PROTECTION ACT 2018 (GDPR)
The UK has a revised Data Protection Act 2018 for the use of personal data.

Your personal data will be:
• Used lawfully, fairly and in a transparent way.
• It is collected for lawful purposes and for us to form an ethical therapeutic relationship.
• Data collected (personal information) is relevant for the means of contact between us
and for your safety.
• By your safety, I mean to keep you safe if we are working online or on the telephone.
SOURCES OF PERSONAL DATA
• I will gather your personal details directly from you.
• I will gather your personal details directly from an agency if you are referred to me by
another source.
• Other sources will also include my forms of advertising which currently is Counselling
Directory and the BACP, who provide an contact email service in which you pass on your
personal data.
• I will ask for your phone number and an email address. If we are working online I will
ask for your home address for your safety and if we are working outdoors, we will
discuss the public meeting venue and address for that.
• If we are working online or by telephone, I need your address in case of an emergency
that occurs for you during our work, so that I can aid help to find your address.
• I may also ask for you to provide an emergency contact for you, only for the use of
emergencies. They will not be given any details of who I am.
PURPOSES AND USE OF PERSONAL DATA
The main purpose of your personal data being held securely by me is to maintain good contact in order to arrange appointments following your enquiry or referral to me.
Your personal data will be needed to facilitate online working or telephone working such as your telephone numbers and email address.
We may need to communicate in between sessions to facilitate a good working relationship.
SHARING YOUR PERSONAL INFORMATION
In the following circumstances, a third party may have your information:
Banks and payment agencies for online payments. My accountant on bank statements.
I will not share your data for any purposes with any external contacts.
If you wish me to refer you to another therapist or agency, I will supply you with their contact details.
Under the terms of my contract, if I cannot hold confidentiality, as explained when I offer you my contract, I will be obliged by law to supply your contact details to the police or emergency services.
SUPERVISION
As stated in my contract, I am supervised as required by my ethical body. The supervisor has no identifying information or personal data for you supplied by me.
HOW LONG DO I HOLD YOUR PERSONAL DATA?
I will keep your personal data for as long as we are working together in order to facilitate good communication.
I will keep your data if you propose to return to me for further therapy.
Counselling records are kept by me in a secure place, as required by my insurance company for 7 years.

I am classed as an organisation that processes personal data subject to the Data Protection Act 2018.

The new law means organisations must
give people a clear way to raise a data protection complaint;
acknowledge it within 30 days of receipt;
without undue delay, take appropriate steps to investigate and keep people informed; and
tell the complainant of the outcome.
HOW TO COMPLAIN
If you have any concerns about how your personal data is handled, please contact me in the first instance so that I can work to resole the issue. You may submit a data protection complaint by emailing amanda@human2human.co.uk.
I will acknowledge receipt of your complaint within 30 days and aim to investigate it within the same timeframe. Your complaint will be handled promptly and without unnecessary delay. I will keep you informed of progress throughout and provide a clear and detailed explanation of the outcome, including how my decision was reached.
If you are based in the UK and are not satisfied with my response, you have the right to lodge a complaint with the Information Commissioner’s Office (ICO), the UK’s supervisory authority for data protection matters, via www.ico.org.uk. My registration number is ZA774232.
